We are looking for someone who is self-motivated, able to take the initiative, and work reflectively to fulfil the requirements of the role. Reporting directly to the Executive Director and working in close collaboration with the charity Treasurer, you will ensure our financial processes, payroll, and internal controls run smoothly and efficiently.

Key Responsibilities

  • Day-to-Day Bookkeeping: Process and pay invoices/expenses, record income, manage the petty cash procedure, and prepare fortnightly banking.

  • Reconciliations & Reporting: Complete monthly bank account reconciliations and produce monthly management accounts using Liberty Accounts, including draft reports for our Trustees.

  • Budgeting & Forecasting: Assist in the preparation and administration of annual budgets and maintain accurate financial forecasts.

  • Payroll & Compliance: Administer the monthly payroll and submit quarterly VAT reporting.

  • Year-End & Gift Aid: Prepare annual accounts for review in collaboration with the Treasurer, and handle Gift Aid administration and applications.

  • Stakeholder Collaboration: Act as the main point of contact for financial queries, liaising regularly with non-finance managers and the charity Treasurer.

Qualifications and Experience

Essential:

  • Qualified by Experience (QBE): A proven track record of managing end-to-end bookkeeping, VAT, and monthly payroll is more important to us than formal letters after your name.

  • Strong proficiency in cloud-based accounting software (e.g., Liberty Accounts, Xero, Sage, or QuickBooks).

  • Up-to-date knowledge of UK payroll legislation and workplace pension administration.

  • Competent in Microsoft Excel (building spreadsheets, tracking budgets, and basic formulas).

  • Sympathetic to the Christian ethos, vision, and values of Wellspring.

Desirable:

  • AAT Level 3 or 4 qualification (Association of Accounting Technicians) or equivalent bookkeeping certification (ICB / IAB).

  • Prior financial experience within the UK charity sector, with an understanding of Fund Accounting (keeping restricted and unrestricted funds separate).

  • Experience with Gift Aid tracking and HMRC submissions.
