Part-time Administrator

Tastelife

We are looking for an enthusiastic person to join our small but highly motivated team, and work with us to change the story of eating disorders in the UK for the better.

Administration plays a vital role in enabling us to offer help and hope to as many people as possible. We are poised for some big steps forward as a charity, and would be delighted to welcome someone to take them with us. Could that be you?

The tastelife administrator offers vital support to the CEO and trustees, and is often the first person to relate to those inquiring about tastelife.  There is also opportunity to be involved in the development and strategic decisions of the charity as it continues to grow.

Responsibilities include:

Managing communications:

  • Be the first point of call for tastelife
  • Respond to website submissions as priority and follow up as required
  • Support management of the tastelife website – specifically ensure all information about training events is up to date
  • Support promotion and update of all social media platforms
  • Plan timed email communication with supporters (currently Mailchimp)
  • Collate information for the news emails, liaising with volunteers and team 
  • Maintain and develop database – liaise with team to keep up to date
  • Send thank-you cards and emails to thank regular and one-off givers 
  • Look at ways to improve current systems and implement new systems.

Working with the CEO and core team to administer effective course leader training: 

  • Advertising the training courses
  • Finding suitable venues and negotiating prices
  • Managing course bookings with venues, including making payment, accommodation and meals
  • Liaising with delegates, invoicing and obtaining payments
  • Budgeting for training events to ensure they are cost effective
  • Prepare and pack any resources/materials required (where possible)
  • Post training – ensure handover of all information to Network Coordinator.

Administrative support of networking events, external teaching and activities:

  • Support Events Lead in completing booking forms and applications, hotels or accommodation if necessary
  • Ensure the online and office calendar are up to date 
  • Liaise with event managers/hosts leading up to the events
  • Prepare and pack stands and resources as required 
  • Represent tastelife at events.

Coordination of marketing, publicity and printing requirements:

  • Assist with design and content of leaflets and booklets
  • Contribute to marketing and promotions 
  • Maintain and manage the stock levels of tastelife products and merchandise
  • Monitor online sales of products and merchandise via the website
  • Place orders and liaise with suppliers
  • Investigate new merchandise and promotional materials including costings
  • Prepare invoices via Quickbooks.

Financial management:

  • Support the Treasurer 
  • Prepare monthly invoices, claim forms and receipts 
  • Assist with fundraising and trust applications
  • Ensure insurance and organisational memberships are renewed, invoices paid and records up to date.

PA to CEO:

  • Support of CEO inbox and calendar management
  • Input of relevant data
  • Preparation for upcoming meetings etc
  • Ad hoc support as relevant.

Liaising with CEO, core team and trustees for charity development: 

  • Contribute to the development and strategy of the charity
  • Assist in the compilation of a yearly planner, with timely reminders of events.
